Varsity Club Bylaws

 

 

Article I

[Name and Purpose]

 

Section 1:         The name of the organization is Notre Dame Prep’s Varsity Club.

Section 2:         Varsity club is a volunteer student group which works towards recognizing athletes, and giving non-athletes a chance to participate in athletic activities. Varsity club hopes of accomplish these goals by sponsoring events, volunteering to host athletic activities, and getting the student body more involved in sports.

 

Article II

[Membership]

 

Section 1:         Varsity club is open to any juniors or seniors who are involved in a varsity sport.

Section 2:         To become an official member, one must help plan and execute varsity club’s major events and be present at majority of the meetings. (Sport conflicts will be taken into account)

A.                  Attendance will be recorded at each meeting

B.                  For the members from the previous years, membership will carry over into the new school year. Official members must, however, continue to follow the guidelines of Section 2 in order to fulfill official membership status for the next year.

 

Article III

[Meetings of Members]

 

Section 1:         Meeting times and agenda items will be set by the executive board. Meetings will be announced a minimum of four days prior unless for an emergency. A tentative calendar of meetings and events will be set at the beginning of the year.

Section 2:         Executive board meetings are set by the president and only involve the board members to discuss future events or deliberations.

Section 3:         Mandatory or general meetings will be announced as “mandatory meeting.” Attendance is required.

 

Article IV

[The Executive Board]

 

Section 1:         The executive board is responsible for the reputation and direction of the Varsity club.

Section 2:         The board shall have up to four members

A.                  Board positions/ qualifications

(i)         President (Senior)

(ii)                 Vice-President (Junior)

(iii)                Senior Advisor (Senior)

(iv)               Junior Advisor (Junior)

 

B.                  Offices and duties

     * President

(i)         Oversees or arranges for other members of the executive board to preside at each meeting.

(ii)         Ensures the club is functioning effectively/ takes attendance

(iii)        S/he discusses future events and ideas

(iv)        S/he oversees the club as a whole

(v)        Sets agenda, official calendar, and meeting dates           

     * Vice-President

            (i)         S/he is an advisor to the president

(ii)         Becomes acting president in absence of the president at a meeting or an event

(iii)        Helps the president oversee the club

(iv)        Works to sustain and/ or increase membership base.

(v)        Conveys information about other clubs to varsity club.

(vi)        Carries over to become president the following year.

     * Senior/ Junior Advisor

            (i)         Advises president and vice-president

            (ii)         Takes on the job of “running” the main events

(iii)                Organizes members to inform students about   events (announcements, posters, flyers etc.)

 

Article V

[Voting]

 

Section 1:         For sake of privacy, all executive board election voting will be done on paper and be counted by the moderator/ teacher sponsor.

Section 2:         The vice-president from the previous year will take over and become president their senior year.

 

Article VI

[Amendments]

 

Section 1:         These Bylaws may be amended when necessary by a two-thirds majority of the official members and the Executive Board. Proposed amendments must be summated to the president a minimum of three days prior to a general meeting.
